Job Description
1. Patient Coordination & Support
- Guide intended parents through the entire IVF or third-party reproduction process, including initial consultations, treatment protocols, legal requirements, and financial planning.
- Act as a liaison between IPs, physicians, nurses, embryologists, and mental health professionals to ensure alignment on treatment plans.
- Provide emotional support and clear communication to address IPs’ concerns (e.g., treatment delays, medication adjustments, or unexpected outcomes).
2. Third-Party Reproduction Management
- Coordinate with egg/sperm donor agencies, surrogacy programs, and fertility lawyers to facilitate smooth collaborations.
- Ensure all legal contracts, medical clearances, and FDA requirements (for donor tissue) are completed and documented.
- Schedule and track donor/surrogate cycles in sync with IPs’ treatment timelines.
3. Cycle Logistics & Scheduling
- Oversee IVF cycle scheduling, including monitoring appointments, egg retrievals, embryo transfers, and pregnancy tests.
- Communicate critical updates (e.g., fertilization reports, embryo grading) to IPs in a timely and empathetic manner.
- Manage travel logistics for out-of-town/international IPs or remote monitoring needs.
4. Documentation & Compliance
- Maintain accurate records in electronic medical records (EMR) and ensure compliance with clinic policies, HIPAA, and ART regulations.
- Verify consent forms, identity checks, and legal permissions for third-party cases.
5. Financial & Insurance Coordination
- Educate IPs on treatment costs, insurance coverage, and financing options.
- Collaborate with billing departments to resolve financial queries.
Job requirements
1. Bachelor’s degree in Nursing, Psychology, Biology, or related field (Master’s preferred).
2. 2+ years in fertility clinics, IVF programs, or surrogacy/donor agencies.
3. Familiarity with ART procedures (e.g., IVF, ICSI, PGT), cryopreservation, and FDA tissue regulations.
4 . Exceptional interpersonal skills to navigate sensitive conversations with empathy.
5. Ability to multitask in a fast-paced environment with attention to detail.
6. Proficiency in fertility software (e.g., EMR, donor databases).
7. Certification in reproductive counseling (e.g., ASRM-affiliated programs).
8. Multilingual skills (e.g., Spanish, Mandarin) for diverse patient populations.
